The Oak Leaf Auction Assistant is a part-time, temporary position providing operational support for the Oak Leaf Auction fundraising event. Other general duties may also be assigned. Flexible start date in June. Hours are 2 days/week from June through August. In September, the need is anticipated at 3 days/week, with advancement to daily support for the month of October. All day coverage for event day, October 28, is expected. Post event coverage is expected for 1 week afterwards for approximately 2 days. 7 hour day. $18/hr.
The Oak Leaf Auction Assistant will support event preparation activities as directed. Significant time will be spent canvassing for auction items at store fronts, on the phone and through online outreach. Will be responsible for tracking auction items received and needed, and recording merchant, item donated, item value, etc. when auction items are secured. S/he may handle recording and reporting of RSVPs, tracking ticket and donation payments, preparing and printing name tags, preparing event day supplies. S/he will have frequent interaction with Philanthropy staff and may interact with donors. Experience with fundraising events preferred.
RESPONSIBILITIES AND SCOPE
- Does not supervise any staff.
- Duties are performed according to instructions or established practices; supervisor will resolve any problems or questions.
- May purchase equipment and supplies as provided for in budget and in consultation with supervisor;
- May serve as a team member for assigned work teams.
- Occasional local travel to fulfill duties
- Work environment involves only infrequent and minor physical exertion and/or strain.
- High School diploma
- Experience with MS Word, MS Excel and MS Outlook.
- Experience meeting deadlines and managing multiple tasks.
- Valid driver’s license. Please indicate this certification in your resume.
- Strong interpersonal skills
- Willingness to solicit for auction items both in person and virtually
- Ability to learn procedures and follow instructions.
- Associates Degree or higher
- Experience working as a member of a team or committee.
- Fundraising event experience.
- Work experience in an office environment.
- Ability to work independently and track and report progress.
AUTO SAFETY POLICY
This position requires a valid driver's license and compliance with the Conservancy's Auto Safety Program. Employees may not drive Conservancy-owned/leased vehicles, rental cars, or personal vehicles on behalf of the Conservancy if considered "high risk drivers." Employment in this position will be contingent upon completion of a Vehicle Use Agreement, which may include a review of the prospective employee's motor vehicle record.
