POSITION SUMMARY

The AZ Water Projects Administrative Coordinator supports a variety of day-to-day operations activities for the entire AZ Water Projects Team. Approximately 50 to 70% of the time will be dedicated to the administrative needs of Verde River projects and the remainder will support water program priorities as defined by the AZ Water Lead and AZ Water Projects Director. The position is located in Phoenix, and supervised by the AZ Water Lead. This benefits-eligible position is part-time (20 hours/week) and temporary (two-year term limit).

ESSENTIAL FUNCTIONS

The AZ Water Projects Administrative Coordinator is responsible for performing multiple administrative functions related to the Water Projects program. May be responsible for Information Systems related to water projects, and ongoing finance and administrative tasks, including processing forms, preparing reports, and monitoring budgets. In addition, the Administrative Coordinator will help to coordinate purchasing, file and data management, grant reporting, time and expense reporting, telecommunications and video conferencing, logistics for special events and/or meetings etc. Uses available systems and resources to maintain, track and research data, and produce and review reports. Applies established processes and practices in order to improve effectiveness and documents program procedures for reference by staff. Will coordinate activities with multiple variables, setting realistic deadlines and managing the timeline. Will work cooperatively with Conservancy staff, providing information necessary to make decisions and solve problems. The Administrative Coordinator may communicate on behalf of the supervisor with internal and external sources, including staff, donors, vendors, and business relations in order to schedule activities, coordinate arrangements, convey information, and ensure successful execution of the AZ Water Program.

RESPONSIBILITIES AND SCOPE

  • Performs duties under general supervision and established guidelines.
  • Assumes financial responsibility that may include purchasing, processing invoices, contracting with vendors, and assisting with budget tracking.
  • Identifies routine problems and utilizes existing resources for resolution; refers difficult questions and problems to supervisor.
  • Undertakes day-to-day decisions within the scope of work assignments; prioritizes work independently.
  • Demonstrates sensitivity in handling confidential information.
  • May supervise volunteers, interns, or temporary staff.
  • Serves as a productive team member for assigned projects.
  • May travel, work overtime, and work evenings and weekends as needed.
  • Works in an environment that includes only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree and 1 year experience or equivalent combination.
  • Strong organizational skills and attention to detail.
  • Experience managing diverse activities to meet deadlines.
  • Experience performing one or more administrative processes.
  • Track record of maintaining positive working relationships
  • Experience working and communicating with a wide range of people.
  • Experience in business writing, editing, and proofreading.
  • Experience in using Excel spreadsheets.
  • Excellent customer service skills and focus.
  • Must possess valid Driver License.

PREFERRED QUALIFICATIONS:

  • Ability to analyze information for the purpose of preparing reports, coordinating activities, and solving problems.
  • Ability to apply research skills.
  • Ability to write and edit written materials for use with program communications and special events.
  • Database skills, including managing and tracking data, and producing reports.
  • Strong organizational skills and attention to detail.
