The Executive Assistant will provide direct administrative support to the Long Island Chapter Director and other directors within the Chapter.


The Executive Assistant will be responsible for a variety of administrative support tasks, including scheduling and calendar management, travel arrangements, drafting/editing correspondence, staff communications, processing expenses for the Long Island Chapter Director. The Executive Assistant will act as the Long Island Chapter Trustee liaison and be responsible for board management, meeting planning and logistics and assisting in the orientation of new Board members. The Executive Assistant will use available systems, technology and resources toprovide support and coordinate communications. The Executive Assistant will coordinate activities with multiple variables, setting realistic deadlines and managing the timeline. The Assistant will communicate on behalf of the Director with staff in various programs across the Conservancy,trustees, donors, volunteers, vendors, and business relations. Responsibilities require discretion, tact and poise compliance with TNC’s policies and procedures. This position may perform administrative functions for other Long Island Chapter managers or programs, as availability permits.

  • Does not supervise any staff, but may supervise volunteers, interns, or temporary staff;

  • Perform duties under general supervision and established guidelines;

  • Demonstrate discretion in handling confidential information;

  • Coordinate several projects at once;set realistic deadlines, manage a timeline, and ensure accountability;

  • Makes purchases, process invoices, contract with vendors, and assist with budget tracking;

  • Identify routine problems and utilize existing resources for resolution, referring difficult questions and problems to supervisor;

  • Make day-to-day decisions within the scope of work assignments and prioritize work independently;

  • Serve as a team member for assigned projects; and

  • Work flexible hours and overtime as needed.


. Bachelor’s degree and 1 year experience or equivalent combination;

  • Experience in business writing, editing, and proofreading;

  • Experience organizing time and managing diverse activities to meet deadlines; and

  • Experience working and communicating with a wide range of people.


  • Experience working with a board of directors, donors, volunteers, the public, and all levels of staff;

  • Strong organizational skills and attention to detail.

  • Ability to analyze information for the purpose of preparing reports, coordinating activities, and solving problems;

  • Strong verbal and written communication skills; strong editing and proofreading skills;

  • Solid knowledge of MS Office programs (Outlook, Word, Excel, PowerPoint), Adobe and other office software, competency with office technology and equipment and a sophisticated knowledge of the Internet;

  • Multi-lingual skills and multi-cultural or cross cultural experiences are appreciated.
