The Nachusa Office Administrator provides crucial administrative support to the Nachusa Grassland’s Program.
The Nachusa Office Administrator performs various administrative tasks, including some or all of the following: monitoring email and voicemail, sorting and distributing mail, scheduling and coordinating logistics of meetings, preserve tours, and volunteer staffing. S/he will respond to requests for preserve tours, provide directions, and when able, answer questions from incoming callers and visitors. S/he will be responsible for maintaining office equipment, purchasing, and working with vendors. S/he may be responsible for calendars and filing, as well as back-up administrative assistance to program teams. S/he may assist with the preparation of correspondence, farm leases, reports and information packets. S/he will use available systems and resources to input scientific data. S/he will provide other staff with information they need to make decisions and solve problems. The Office Administrator will have frequent interaction with staff throughout the program and in other Conservancy offices, and with vendors.
RESPONSIBILITIES AND SCOPE
Does not supervise any staff, but may help plan and direct the work of volunteers or interns.
Assist with production of the Prairie Smoke Annual Report
Track deadlines for grants, stewardship and other components of the program.
Coordinate updating of the Illinois Prescribed Fire Council website.
Financial responsibility may include processing invoices or travel expenses.
May purchase equipment and supplies as provided for in budget and in consultation with supervisor.
Help keep the headquarters clean and orderly.
Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
High school diploma plus one year of experience or equivalent combination;
Experience providing administrative support including one or more of the following: phones/customer service, mail distribution, equipment maintenance, or coordinating travel arrangements;
Experience working and communicating with a wide range of people; and
Experience writing, editing, and proofreading written materials.
Familiarity with the conservation objectives and operation of the Nachusa Grasslands Program.
Experience managing diverse activities to meet deadlines.
Good “customer service” skills and focus.
Strong organizational skills and attention to detail.
ADDITIONAL JOB INFORMATION
This position is for only two half days of work per week, for a total of 7 hours. There may be some flexiblity in terms of determining which days of the week the work occurs.
Job Family: Operations
Salary: $18.00 - 20.00 an hour, depending on experience
