POSITION SUMMARY

The Executive Coordinator provides a variety of high-level administrative tasks in support of the State Director of the Virginia Business Unit of The Nature Conservancy.

ESSENTIAL FUNCTIONS

The Executive Coordinator performs a variety of high-level administrative tasks in support of the Virginia State Director. These tasks include general support and administration (travel arrangements, scheduling, general organization) as well as serving as the primary liaison to the Board of Trustees and completing/contributing to specific written communications efforts. Frequent interaction is required with all members within the organization as well as trustees, donors, legislators and public officials, leaders of partner organizations, vendors, and business relations.

These duties require discretion, judgment, tact, and poise as well as the ability to work in complex and changing situations.

The Executive Coordinator proactively manages the Director’s workload and information flow. S/he assists the Director by anticipating needs, researching information, scheduling meetings, troubleshooting issues, and maintaining the Director’s calendar. S/he interfaces by telephone and email with key stakeholders on behalf of Director. S/he plans and implements staff meetings and other events as appropriate. Specific tasks include, but are not limited to, the following:

  • Arranging meetings and logistics on behalf of the Director including preparing materials prior to meetings and briefing the Director on meeting outcomes and participants.
  • Planning and implementing staff meetings and other events as needed.
  • Maintaining files and records.
  • Reviewing correspondence, memoranda, routine reports, and other documents for the Director’s signature.
  • Supporting the fundraising efforts of the Director.
  • Assisting with budget preparation and tracking.
  • Optimizing travel arrangements.
  • Completing and reviewing expense reports.

The Executive Coordinator is the primary liaison between the Director and the Board of Trustees, providing support for meetings, retreats, and board activities, including scheduling and overseeing full board and committee meetings and other Board related events. Other responsibilities in support of the board include, but are not limited to, the following:

  • Preparing agendas and meeting materials, including board reports
  • Taking and distributing meeting minutes.
  • Acting as a resource to Trustees and staff regarding board business.
  • Assisting the Director with Board communications.

S/he also serves as the Chapter liaison to the Worldwide Office Trustee Program.

The Executive Coordinator performs important writing and editing functions for the Director and the Chapter in general, including writing, editing and sending correspondence on behalf of the Director, as well as special reports as required. The Executive Coordinator may also undertake an array of special assignments and projects as needed.

RESPONSIBILITIES AND SCOPE

  • Act independently within broad program goals to prioritize tasks in the absence of specific instructions and exercise independent judgment to identify and solve problems.
  • Ensure compliance with TNC policies and procedures, and external (donor/legal/IRS) requirements.
  • Financial responsibility includes purchasing, processing invoices, and negotiating and contracting with vendors.
  • Maintains confidentiality of frequently sensitive and emotionally charged information.
  • Manage projects with several variables, set realistic deadlines, manage a timeline, and ensure accountability.
  • May participate in complex negotiations.
  • May supervise administrative and/or volunteer staff, responsibility includes training and professional development.
  • Provide input through project teams for the development and implementation of new initiatives or the improvement of existing programs.
  • Travel and work flexible hours as needed.
  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
  • Work is diversified and may not always fall under established practices and guidelines.
  • Work within scope of program’s strategic goals.

MINIMUM QUALIFICATIONS

  • Bachelor’s degree and 3 years related experience or equivalent combination.
  • Experience using existing technology to achieve desired results, including Outlook, Word, Excel and PowerPoint.
  • Experience generating reports, and analyzing and interpreting data.
  • Experience managing the schedule and contacts of a senior leader.
  • Experience with database management.
  • Experience working across departments.
  • Must have valid driver’s license and safe driving record (per TNC’s Auto Safety Program).

  • Demonstrated experience using diplomacy and tact to build strong relationships and motivate staff.
  • Proven ability in taking meeting minutes.
  • Experience coordinating projects.
  • Experience interpreting guidelines to achieve desired results.
  • Successful experience implementing strategic program goals.
